EU Project Engineers Peer Exchange: structures, practices & collaboration across Ulysseus

Joins us at the EU Project Engineers Peer Exchange, an event bringing together the professionals who keep EU proposals moving within each partner institution. The aim is clear and strategic: to meet peers, compare local practices, and identify areas of collaboration in order to develop a shared Ulysseus support layer.

 

The exchange will be informal and participatory, featuring short talks from each partner institution on how “project engineering” works locally, followed by an open discussion on where a mutualised Ulysseus Project Office could bring added value.

 

 

Agenda

  • Presentation of Ulysseus IPO – 10’
  • Short presentations (5–10 min) from each Ulysseus partner – around 80 minutes
  • Discussion: Local ↔ Ulysseus level cooperation – around 30 minutes

Topics to be covered

During their contributions, participants will share a concise snapshot of how things work locally:

  • Structure: is there a central grant/EU office? several local units? researcher-driven?
  • People & Roles: number of FTEs, outsourced/sub-contracted services?
  • Key Services: pre-award, training, post-award, legal/HR, etc.
  • Internal Workflow: how proposals move from idea → submission → grant set-up.
  • External Collaboration: links with tech parks, national contact points, consultants, etc.
  • Pain points & successes: what still remains challenging, and what works particularly well?

In the final discussion, each partner is invited to suggest:

  • Areas where shared Ulysseus project services could add value (quick wins vs. mid-term).
  • Items to co-develop, such as a training catalogue, template library, partner-search mechanisms, or compliance checks.

These inputs will help shape a first roadmap for future cooperation between the International Project Office (IPO) and local structures.

Registration

The session is intended for 1–2 colleagues per Ulysseus partner (EU project engineers, grant office staff, research support services, tech-park liaisons).
